1. GENERAL INFORMATION

This MANUAL aims at providing NETWORK OFFICES with a working handbook which features information of our FFSI organisation and which also provides information on NETWORK OFFICES and guidance helpful in day-to-day work.

To continually upgrade the MANUAL, NETWORK OFFICES with suggestions for improvements should not hesitate and are welcomed to advise their ideas to:

For easy reference and updating purposes, the MANUAL has been divided into five sections, viz:

SECTION 1 - GENERAL INFORMATION
SECTION 2 - INFORMATION ON FFSI ORGANISATION
SECTION 3 - FFSI CONSTITUTION
SECTION 4 - STANDARD PROCEDURES
SECTION 5 - INFORMATION BY NETWORK OFFICES



2. OBJECTIVES

  • To document FFSI's service standards;
  • Provide immediate availability of information whenever required by our mutual customers;
  • Standard procedures whenever applicable;
  • Standardised forms whenever applicable;
  • Pave the way to ISO certification;
  • NETWORK OFFICES' personnel will be made more aware of the existence of our FFSI World Wide Network.
  • Cost savings by NETWORK OFFICES.


3. GUIDE TO THE USE OF THE MANUAL

3.1

For SECTIONS 1 to 4 of the MANUAL, each SECTION will have its own set of page numbers, e.g.:

SECTION 1 - GENERAL INFORMATION- PAGES 1 TO 11 (see header above for example);
SECTION 2 - INFORMATION ON FFSI ORGANISATION - PAGES 1 TO 10;
SECTION 3 - FFSI CONSTITUTION - PAGES 1 TO 22;
SECTION 4 - STANDARD PROCEDURES - PAGES 1 TO 4;

As for SECTION 5 of the MANUAL meant for "INFORMATION BY NETWORK OFFICES", the number of FILES would depend on the number of NETWORK OFFICES. If we have 39 NETWORK OFFICES, then rightly there should be 39 FILES. Each FILE shall have its own file name and set of page numbers, e.g:

ABC Freight Company / Hong Kong - HKAFC PAGES 1 TO ^^
XYZ Airsea Transport / Philippines - PHXAT PAGES 1 TO ^^
(2-Letter Country Code followed by 3-Letter Company Code)

Where NETWORK OFFICES are representing only at a "Locality" of a Country, their FILE names should be - first the 2-Letter Country Code followed by the 2-Letter State/Province Code or 3-Letter Airport Code (2-Letter State/Province Code takes precedence over the 3-Letter Airport Code) followed by the 3-Letter Company Code. See example below:

ABC Company Inc, Vancouver, Canada - CABCACI
ABC Company Inc, Montreal, Canada - CAQUACI
3.4 2-Letter Country Codes
See Pages 7 & 8 for 2-Letter Country Codes, coding and decoding respectively. For Country Codes not listed, please refer to TACT RULES 1.3.
3.5 2-Letter State/Province Codes
See Page 9 & 10 for 2-Letter State/Province Codes, coding and decoding respectively.
3.6 3-Letter Airport Codes
Refer to TACT RULES 1.2. for Codes.
3.7 Control of the 2-Letter Country, the 2-Letter State/Province and the 3-Letter Airport Codes will be by Network Services Office whereas the 3-Letter Company Codes shall be left to the choice of the NETWORK OFFICES.
3.8 Contents Page
Each FILE, except for NETWORK OFFICES' FILES, will have its own Contents Page incorporated. See FILES for example.

Each NETWORK OFFICE and its branches are to maintain disks (as many as required), each have 4 FILES named as such:-

MNLSEC1 - GENERAL INFORMATION
MNLSEC2 - INFORMATION ON FFSI ORGANISATION
MNLSEC3 - FFSI CONSTITUTION
MNLSEC4 - STANDARD PROCEDURES
3.10 For easy reference by NETWORK OFFICES' personnel, NETWORK OFFICES are recommended to print hard copies and file them in a file marked "FFSI MANUAL" according to SECTIONS. As for SECTION 5 - "INFORMATION BY NETWORK OFFICES", the filing should be in alphabetical order per Country's 2-Letter Code or per Country's 2-Letter Codes followed by the 2-Letter State/Province Codes or 3-Letter Airport Codes.
3.11 Information on "AMENDMENT RECORD" and SECTIONS 1 TO 4 shall be provided in a disk and distributed to all NETWORK OFFICES.
3.12 As for SECTION 5, each NETWORK OFFICE is to provide their information as per format saved under FILE name as per example SGFFS that is provided in the disk.
3.13 To assist Network Services Office and to make their job easier, all NETWORK OFFICES are encouraged to use "Microsoft Word 97" or "Word 6.0/95(*.doc) as FILES in other versions need to be converted or re-keyed.
3.14 Page Set-up
DO NOT change any settings in the "PAGE SETUP" of all FILES as by doing so the page numbering in the CONTENTS PAGES could result as errors. "Page Set-up" as below:


4. AMENDMENTS AND UPDATING PROCEDURES

4.1

NETWORK OFFICES updating their own information are to amend the 'header' and footer' per examples that follow:

ISSUE NO : 2 DATE OF ISSUE : 16/4/98 REPLACE ISSUE DATED: 12/3/98

4.2 E-mail as an attachment your amended FILE to Network Services Office.
4.3 On receipt of updated FILES, all NETWORK OFFICES are to save the updated FILES replacing the existing FILE in the "FFSI MANUAL" disk. As for hard copies, the existing pages, which will be obsolete, are to be withdrawn and replaced with the amended copies accordingly.
4.4 NETWORK OFFICES having branches are to ensure that their branches 'hard copies' FILES are also updated.
4.5 It is recommended that NETWORK OFFICES appoint one of their personnel to carry out this exercise.


5. NETWORK OFFICES' RESPONSIBILITIES

5.1 In order that we have a complete MANUAL, that will undoubtedly benefit all, NETWORK OFFICES are requested to give their fullest co-operation by providing their information as soon as possible.
5.2 NETWORK OFFICES are responsible to continually update their information whenever there are any changes.
5.3 All NETWORK OFFICES are responsible to update the MANUAL whenever amendments are received.
5.4 WARNING!!! NETWORK OFFICES not updating their own FILES will be responsible for old data applied by other NETWORK OFFICES.


6. NETWORK SERVICES OFFICE'S RESPONSIBILITIES

6.1 On receipt of NETWORK OFFICES' amendments and updates, the Network Services Office is to multi-broadcast such within 3 working days.
